The staff is divided into various roles, each with a specific set of duties. Administrative privileges granted to staff members are not available to general users and vary depending on their responsibilities. For their service to PFQ, all staff members receive Hypermode and access to the "Staff Hideout" section of the Public Forums. Community Helper ranks, such as Wiki Editor or Helping Hand, are also available to Staff members.
On PokéFarm Q, administrators (Admins) hold the highest positions of authority. Administrators are in charge of maintaining PFQ and are directly in charge of all PFQ operations. Administrators are able to overrule all staff members under them.
The System Administrator (Programmer), Staff Administrator, and Art Director are the three administrator positions on PFQ. Niet, the System Administrator and Programmer of PFQ, is responsible for all of PFQ's internal maintenance, which includes resolving bug reports, developing and updating site features, and maintaining the system. The staff administrator, Garthic, is in charge of overseeing the staff and their daily tasks. The position of Art Director for PFQ is currently unfilled, but they would be in charge of all are-related matters, such as event design, sprite development, and artwork.

Super Moderators (SuperMods) are experienced Staff members who oversee general Staff affairs. Super Mods have a strong presence among the Staff and are capable of overruling lower-ranking staff members. Super Mods are consulted for matters beyond the scope of a Moderator's experience or control.
The majority of the Super Mods hold Manager positions as well. Each Manager position has unique responsibilities that are specific to them and is a secondary position within the Staff.

Moderators (Mods) work to keep PokéFarm in a stable state of order and peace by ensuring that all Rules are followed and enforced. Moderators have the ability to kick users from the PFQ Discord Server, remove and edit user content, and manage the Support Centre. Users can ask for assistance from Moderators with any problems they might encounter on the website.
The Public Forums on PokéFarm Q are maintained by Forum Moderators (Forum Mods). A Forum Moderator has the same authority as a general moderator but is not required to carry out a General Moderator's responsibilities. Their primary objectives are to manage inactive threads, reduce SPAM, and clean up forum subsections.
Users who are undergoing training to become full Moderators (General or Forum) are referred to as Moderators-in-Training (MiT). MiT's have the same administrative powers as Moderators, and are readily available to answer questions or to help out with user problems and concerns.
Despite being lower on the staff hierarchy than Moderators, MiTs have the same authority to make decisions and issue warnings. The same respect and consideration should be shown to MiTs as to Moderators.
Members of the Graphics Team create a variety of artwork for the use on PFQ. Despite being part of the staff, members of the Graphic Team are not required to take part in other staff-related operations and do not have any administrative powers. Graphics Team members should not be contacted with sensitive, staff-related issues.

The PFQ Discord server is moderated by ChatOTs, a unique category of moderator. Although ChatOTs have some administrative powers on-site, their duties are restricted to server management. Their responsibilities include granting users off-site link permissions, ensuring that no inappropriate content is shared, and monitoring the server's users.
The Retired Staff position are users who are former members of the Staff. Retired staff is not an actual staff position; it is merely an honorific. Retired Staff members do not have any responsibilities or administrative powers, and should not be contacted with questions concerning their leave from the Staff.
All staff members receive special userbars, which are visible above their Rank on the forums and in Personal Messages. On the website, a staff userbar that displays the holder's position can be used to confirm that they are an actual member of the staff. Apart from Moderators in Training, all members of staff are given a custom userbar that features the staff member's PokéSona and use their preferred colours. Staff userbars will sometimes list secondary positions instead of primary positions, e.g. Shazi, a member of the Graphics Team and a Super Moderator, has a "Super Moderator" userbar.
User-nonspecific userbars exist for certain staff positions. Those in the first row are typically only used until personalized userbars are created.

All members of the staff have PokéSonas, many of which are Non-player Characters (NPCs) that contribute to PokéFarm's storyline. The Bonus Counters, Lab, Wishforge, and Dojo all feature staff NPCs. Staff NPCs all perform tasks relevant to the PokéSonas they are based on, e.g. Ravyne's NPCs are both based around Gems.
